About the role:
The Personal Assistant (PA) will provide high-level administrative and organisational support to the CEO of Fortus. This role is integral to ensuring the CEO’s time is maximised, priorities are managed effectively, and strategic initiatives are implemented smoothly. The PA will act as a trusted point of contact both internally and externally, enabling the CEO to focus on driving business growth and leadership.
Key responsibilities:
Executive Support & Diary Management
- Coordinate and manage the CEO’s calendar, arranging meetings, conferences, and travel itineraries.
- Proactively anticipate scheduling needs and resolve conflicts quickly.
- Ensure all documents and information are prepared in advance of meetings.
Communication & Correspondence
- Serve as a first point of contact for the CEO, screening and prioritising communications.
- Draft, review, and format correspondence, presentations, and reports.
- Maintain confidentiality and exercise discretion in dealing with sensitive information.
Meeting & Event Coordination
- Organise and prepare for internal and external meetings, including taking minutes and following up on action points.
- Coordinate board meetings, leadership sessions, and client events as required.
- Support with team communications, announcements, and CEO-led initiatives.
Project & Business Support
- Assist in the execution of key strategic projects led by the CEO.
- Undertake research, prepare briefing materials, and compile data for decision-making.
- Track progress on priorities and ensure deadlines are met.
Travel & Logistics
- Arrange national and occasional international travel, ensuring efficient itineraries.
- Handle expenses and budget tracking for executive-related activities.
Stakeholder Liaison
- Build strong relationships with senior leaders, clients, and external partners.
- Represent the CEO professionally in all interactions.
- Ensure smooth communication flow between the CEO, wider business, and stakeholders.
Skills and Experience
- Proven experience as a Personal Assistant or similar role supporting senior leadership.
- Strong organisational skills, with the ability to handle multiple priorities and deadlines under pressure.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and confidentiality.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and digital collaboration tools (e.g., Teams, SharePoint).
- Strong problem-solving skills and the ability to anticipate needs before they arise.
- Experience within professional services or advisory businesses (preferred but not essential).

Working Arrangements
- Location: The role will be based in our York office, with the requirement to work from any of our other Yorkshire based sites as needed.
- This is a full time (37.5 hrs per week) permanent role, with flexibility to work outside of standard hours if required by the CEO’s schedule.
