The role of a Client Experience Assistant is to provide key support to the Accounts & Tax Compliance teams by ensuring tasks - which are all critical to our clients having a world class experience with Fortus - are executed in a consistent, professional and efficient manner.

Specific detail on the role is outlined below:
- Ground floor office environment
- Various tasks relating to preparing offices for opening/closing each day
- Greeting visitors, making drinks and keeping office spaces clean and tidy
- Keeping records/storage rooms organised
- Booking in client records and preparing for collection again
- Taking card payments and recording monies received
- Dealing with post (opening/distributing and franking/sending)
- Client onboarding
- Onboarding new clients (checking AML compliance complete, creating client record on IRIS and issuing engagement letter)
- Data integrity
- Maintaining IRIS database (updating client information as required and ensuring accuracy of data)
- Running Iris reports
- Assisting with data retrieval – obtaining SA302s and Tax Year Overviews etc.
- Books in / outsourcing
- Preparing/scanning documents for outsourcing
- Review of records, contact relationship holder for direction and flagging any obvious omissions i.e. personal tax info
- Following instruction from relationship holder, necessary records to be scanned in and distributed to IRIS or other member of the accounts team as work in progress
- Drafting of control sheets for outsourcing, electronic records pulled together and uploaded where necessary
- Monitor outsourcing process, jobs in hand and any queries that need actioning
- Initial point of contact for missing information. Where this can’t be accessed easily, please refer to exec / senior
- Responsible for posting outsourcing timesheets to iris. This is posted based on a report received on a Monday, for all jobs completed at outsourcing for the previous week, ensuring WIP is back loaded as jobs arrive back to us for accounts exec / senior to review
- Ensuring the books received from client or relationship manager are accurately booked into our records room following existing process
- Ensuring regular review of books in records to ensure anything unnecessarily held is returned
- Accounts / Tax Completion & Filling
- Preparation of final accounts / tax return packs for onward distribution to clients (Openspace / post) – Relationship holder to advise
- Monitoring and saving of approved documents and passing on to the relevant team member
- Preparation of 64-8 authorisation forms and obtaining HMRC codes
- Assisting with ID verification for Companies House (new rules coming in)
- Admin support for MTD quarterly returns
- Scanning/filing signed accounts and tax returns with HMRC
- Chasing in client information
- Making client appointments
- Starting calls to HMRC then passing to team members once connected (avoiding long periods of time on hold for chargeable staff)
- Client offboarding to include, close down of client record on IRIS, issuing disengagement letter, compiling professional clearance information, letter preparation and pulling relevant reports/info together.
